When I delete a Gmail e-mail in the Mac Mail app I always use the Trash icon, not the Archive icon. Yet I still see deleted e-mail in Archive. Use Mailbox Behaviors preferences in Mail to change where draft, sent, junk, deleted, and archived messages for an email account are stored.

To change these preferences in the Mail app on your Mac, choose Mail > Preferences, click Accounts, then click Mailbox Behaviors.

Note: Mail stores messages in the mailbox you specify for each option.

  • If you select a mailbox on the mail server, the messages are available when you use your email account on another computer. Mail selects the best mailbox for your account; before choosing a different server mailbox, check with your email account provider.

  • If you select an On My Mac mailbox, the messages are stored on your Mac and are available only there.

Drafts Mailbox

Select a mailbox on the mail server or on your Mac to store draft messages.

This option is available only for IMAP accounts.

Note: Select this option on each Mac where you’ll use your account, to avoid having two Junk mailboxes in the Mail sidebar.

Erase junk messages

Mail automatically deletes junk messages at the specified time. Select a setting other than Never to avoid exceeding storage limits set by your email account provider.

Trash Mailbox

Select a mailbox on the mail server or on your Mac to store deleted messages, or choose None (deleted messages are removed and aren’t available in the Trash mailbox).

If you selected None for Trash Mailbox, you can have Mail permanently delete messages automatically.

If your email account provider sets up the server to delete older messages, the messages are deleted regardless of how you change this option.

Archive Mailbox

Select a mailbox on the mail server to store archived messages.

If you use an Exchange account, you can choose to store draft, sent, junk, and deleted messages on the server, and when to erase junk and deleted messages.

Mail can import email messages that have been exported in mbox format from other email apps, and import mailboxes exported from Mail on a Mac. You can export mailboxes in mbox format.

Import mailboxes

  1. In the Mail app on your Mac, choose File > Import Mailboxes.

  2. Select a source in the list, read the information that appears below the list, then click Continue.

    • If you’re importing a mailbox exported from Mail or a folder in the ~/Library/Mail/V7 folder on another Mac, select Apple Mail. To get to the Mail folder on a Mac, click the desktop to make sure you’re in the Finder, press and hold the Option key, choose Go > Library, then click the Mail folder.

    • If you’re importing messages from a Windows or UNIX computer, select “Files in mbox format,” then locate the folder containing the files.

  3. Reorganize the imported messages, if you like.

    The messages are in a new mailbox called Import in the Mail sidebar. You can drag folders and messages from the Import mailbox to new or existing mailboxes, then delete the Import mailbox.

  1. In the Mail app on your Mac, select one or more mailboxes, then choose Mailbox > Export Mailbox.

  2. Choose a folder or create a new folder, then click Choose.

    Mail exports the mailboxes as .mbox packages. If you previously exported a mailbox, Mail doesn’t overwrite the existing .mbox file; it creates a new .mbox file, such as My Mailbox 3.mbox.
